Welcome to ACTHA!

This Promise Letter is just what it says, our promises to you and yours to ACTHA. It is far from being a legally binding document and in keeping with the spirit of ACTHA, that is intentional. We want your help and in return we will help you tremendously. Together we are making huge progress in saving our noble friends, the horse.

THERE ARE NO OUT OF POCKET COSTS TO BE AN ACTHA AFFILIATE. ACTHA EVEN ADVANCES THE COST OF INSURANCE. SUCH IS OUR FAITH IN YOUR SUCCESS AND OUR SYSTEMS.

ACTHA has spent years and many thousands of dollars perfecting how to fully assist you. "Your" ride will be fun and demand as little time as possible. Your rewards will not only be financial, you also will be heartened knowing you are assisting in the recognition of the great American trail horse.

Here are our Promises:

  1. ACTHA will provide technical, marketing, and operational support for the ride, inclusive of the full time assistance of ACTHA's staff that will aid and facilitate you on an as needed basis throughout the process. ACTHA begins working for you the minute you submit your information. Upon receipt, ACTHA makes available to you all the confidential materials you will need. Included in your support, you will have access to the official ACTHA manual with complete instructions, tutorials and webinars, as well as many more aids and web site assistance.
  2. ACTHA will advertise your ride to ACTHA's in-house distribution list of riders in your area. ACTHA may also feature specific rides in their national advertising programs inclusive of Television and Magazine spots, and editorials. Your ride will also be featured on ACTHA's web site which gets millions of hits per month! You will be responsible for the local marketing of your ride and we show you how!
  3. ACTHA will provide liability insurance for the ride in the amount of $500,000.00/$1,000,000 at no upfront charge to you. If state laws require additional insurance, ACTHA will provide same without any advance payment from you.
  4. ACTHA will tabulate Placement Points for each registered horse and rider qualifying them for medal awards and gifts earned throughout the lifetime of the horse, or for as long as the horse is registered with ACTHA, whichever is shorter.
  5. ACTHA will accept all entries via ACTHA's proprietary web site and software and allow credit card payments.
  6. ACTHA will provide you special access to portions of ACTHA's website. This gives you the ability to manage your rides, score your rides, and have access to all forms needed for your rides, complete with the authority to print out same for your use. You'll love the affiliate menu... it runs your ride!
  7. ACTHA will provide judge training through video and written instruction via the 'Judges Area' on the website, and telephone conference training by ACTHA staff. One judge, one obstacle...simple.
  8. ACTHA will issue payment to you for your share of rider entries usually the business day following the ride. This payment will be for all entry fees collected minus $18 per entrant (open, pleasure, buddy), $8 for each junior, and a small $176 partial cost recovery fee will be deducted from your proceeds at check-out. The proceeds are yours to do with what you wish unless they will be going to a charity, in which case ACTHA will send the proceeds directly to the charity.
  9. An ACTHA representative will be on call on all of your ride days for telephone and/or video conference support.
  10. Lastly but most importantly.....ACTHA will facilitate major donations to equine charities throughout the year through the affiliate program and donations.

You only have a few promises:

  1. Run the ride in a responsible and safe manner per ACTHA's instructions in the Affiliate Manual and on the website.
  2. Name your ride a "Competitive Trail Challenge (CTC)". Example - Woodrock Ranch CTC.
  3. Commit to at least 10 hours by you and your volunteers to contact riders (via phone) in your area to attend your ride. ACTHA provides this list to you and makes available all riders known in your area within a 300 mile radius. There is no substitute for the human contact when filling rides.
  4. Understand that in order to attend your ride, members take vacation days from work, arrange to travel with a friend who has the trailer, arrange for someone to watch the ranch and feed the animals left behind, arrange for child care, turn down other events that they have been invited to etc. etc. Commit to local marketing and not to cancel due to low ride numbers.
  5. Conform to and abide by the ACTHA rules for judging by making sure your judges complete the video and instructional information in the JUDGES AREA for their individually assigned obstacle, and participate in at least one judge's conference call.
  6. Agree to use only the trail obstacles listed in the ACTHA Affiliate Manual, unless otherwise approved by ACTHA in advance.
  7. Provide at least six (6) judges, six (6) obstacles, and 6 miles of trail for each event. No more than 6 on your first ride and no more than 8 on any subsequent ride. All obstacles must be spread out during the course of the 6 mile ride.
  8. Collect signed ACTHA liability waivers for all juniors and volunteers at the ride. All other waivers should be electronically signed on the website, check these and collect those that didn't.
  9. Check all proper papers (i.e., Equine Infectious Anemia "Coggins", health certificate) for every horse entering the property, if required in your state.
  10. Complete the online Questionnaire found in your Affiliate Menu on ACTHA'S web site. Promise to complete same within 2 weeks of signing up. (REFERENCE USE OF THE MANUAL IS ENCOURAGED TO FILL OUT THE QUESTIONNAIRE). Once you sign up, you will have a ride posted automatically on ACTHA's calendar. If the questionnaire is not completed within 2 weeks, the ride date will be lifted for another affiliate to use.
  11. Once the questionnaire is complete, finish posting your ride (completing the details of your ride for riders to join) within 4 weeks of your signup date. If your ride details are not entered, your ride date will be lifted for another affiliate to use.
  12. Treat all member information in confidence and use for ACTHA events only.

If this handshake agreement makes sense to you and if you are as excited as we are to get started, simply acknowledge by filling in the information below!! We'll immediately send you all the materials upon receipt! This agreement will automatically renew annually unless either party notifies the other of their wish to terminate.

Your ride date will remain reserved once you complete the questionnaire within 2 weeks of today. You will need to finish posting ride details to your ride within 4 weeks from today. This will allow riders to join your ride.
